I am there 2.5 to 3 hours before guests, and in a city building that time goes to a staged unload, a trip or two up in the freight elevator, and a soundcheck run while the room is still being set. Nothing is being carried in once guests are in the lobby.

How do you get gear into a Cambridge hotel on a Saturday?
Through whatever route the hotel gives me, booked in advance. Every city hotel has its own answer: a dock with a scheduled window, a service corridor, a freight elevator shared with housekeeping and every other event in the building. I ask for that route and that window during planning, then arrive inside it. The gear reaches the room on the building's terms, which is the only way it reaches the room on time.
Can the ceremony and the reception happen in the same hotel room?
Often, yes, and the flip is the part worth planning. Guests move to a cocktail space, the room turns over behind them, and the music has to cover both places at once while that happens. I set the ceremony sound so it can come down fast and put the reception system in position before anyone sits for the ceremony. The transition should feel like nothing happened.
What time do you get to a Cambridge venue, and how do you handle parking?
I am on site 2.5 to 3 hours before guests, and in Cambridge I leave earlier than 55 minutes of driving would suggest, because the last ten minutes are the slow ones. Parking gets sorted with the venue in advance: a dock slot to unload, then a garage or a lot for the vehicle. Nothing about my arrival should ever be visible to your guests.
