If you've never booked a wedding DJ before, the process might feel unfamiliar. What do you ask? What should they ask you? When does the planning actually happen? Here's a walkthrough of the entire experience from first contact to the last dance.

Step 1: The Inquiry

You reach out -- usually through a contact form, email, or phone call -- with the basics:

  • Your wedding date
  • Your venue (or shortlist)
  • Approximate guest count
  • What you're looking for (reception only, ceremony + reception, lighting, etc.)

A professional DJ should respond within 24-48 hours. If they take a week, that tells you something about how they handle communication.

Step 2: The Consultation

This is the most important step. It's a real conversation -- not a sales pitch. A good DJ will ask about:

  • Your vision - What's the vibe? Elegant and classic? High-energy party? Relaxed and intimate?
  • Music preferences - Genres you love, genres you hate, specific songs that matter to you
  • Reception flow - Traditional timeline or something custom? How important is dancing vs. socializing?
  • Special moments - First dance, parent dances, dedications, surprises, cultural traditions
  • Guest demographics - A room of 25-year-olds needs different energy than a multigenerational crowd
  • Venue specifics - Indoor, outdoor, tent, multiple rooms, sound restrictions

Pay attention to how the DJ listens. Are they asking follow-up questions? Taking notes? Or just waiting for their turn to talk about themselves? The consultation tells you everything about what working with them will be like.

Step 3: The Proposal

After the consultation, you'll receive a proposal that includes:

  • Package details - Exactly what's included (hours, equipment, services)
  • Pricing - Transparent, no hidden fees. If a DJ can't give you a clear number, that's a red flag.
  • Add-on options - Ceremony coverage, extra hours, lighting upgrades, photo booth
  • Terms - Cancellation policy, payment schedule, what happens if the DJ gets sick (backup plan)

Take your time reviewing this. Compare it to other proposals. Ask questions.

Step 4: The Contract and Retainer

When you're ready to move forward:

  • Sign the contract - Read it. Make sure everything discussed is reflected in writing. A handshake agreement is not enough for a wedding vendor.
  • Pay the retainer - Typically 25-50% of the total. This secures your date on the DJ's calendar. The balance is usually due 2-4 weeks before the wedding.

Once the retainer is paid, your date is locked. The DJ will not book another event on your date.

Step 5: The Planning Phase

This happens in the weeks and months leading up to your wedding. At Elation, we use a planning portal where you can:

  • Build your timeline - Map out the entire reception from cocktail hour to last dance
  • Submit song requests - Must-plays, do-not-plays, first dance, parent dances, ceremony music
  • Fill out a planning questionnaire - Special announcements, pronunciation guides, wedding party names, vendor contact info
  • Message us directly - Questions, changes, ideas that come up along the way

Some couples fill everything out six months early. Others finalize the week before. Both are fine -- the portal is there when you're ready.

Step 6: Pre-Wedding Confirmation

About 2 weeks before your wedding, we'll do a final check-in:

  • Confirm the timeline
  • Review any last-minute changes
  • Verify venue load-in logistics and contact info
  • Confirm the day-of point of contact (planner, coordinator, best man, etc.)

This is your chance to ask any remaining questions and make sure we're aligned on every detail.

Step 7: Wedding Day

We arrive 1-2 hours before the event starts to:

  • Set up and sound-check all equipment
  • Coordinate with the venue staff and other vendors
  • Test microphones and lighting
  • Confirm the timeline with the coordinator/planner

From there, we run the reception. MC duties, live mixing, timeline management, problem-solving -- everything we discussed during planning comes together.

Step 8: After the Wedding

After the event, we break down, load out, and leave the venue clean. Some DJs (us included) follow up to make sure everything met expectations and to ask if there's anything they can pass along as feedback.
